   2019 Show Schedules Rules of the Society, Show Regulations & Data Protection Policy

l.  Name: The name of the Society shall be 'Ewhurst Horticultural Society'.  

2.  Object: The object of the Society shall be to encourage interest in horticulture and kindred crafts.  

3.  Membership: Membership shall be open to all. Any member who has, in the opinion of a majority of the full Committee, brought discredit on the Society shall be liable to have his/her membership withdrawn.  

4.  Officers: The officers shall consist of a President, Chairman, Hon. Secretary and Hon. Treasurer.  

5.  Committee: The affairs of the Society shall be managed by a Committee consisting of the Officers and at least six, but not more than twelve, other members. A meeting of the Committee must not proceed to business if less than half its members is present.  

6.  Elections: The Officers and other members of the Committee shall be elected at an Annual General Meeting and shall serve for one year, after which they will be eligible for re-election. If an Officer or other Committee member is unable to complete his/her term of office the Committee may appoint a replacement to fill the vacancy until the next Annual General Meeting.  

7.  Annual General Meeting (AGM): The Annual General Meeting of the Society shall be held in October/November. The Hon. Secretary shall give all members at least ten days notice of such meetings. Any member wishing to raise matters other than those on the Agenda must give at least seven days notice in writing to the Hon. Secretary.  

8.  Quorum: A General Meeting (AGM or SGM) must not proceed to business if less than fifteen members are present.  

9.  Voting: All members present at a General Meeting are entitled to vote. Postal or 'proxy' votes are not allowed.  

10.  Subscriptions: All members shall pay an annual subscription at a rate (or rates) decided at the AGM and payable on the following 1st January.  

11.  Finance: The financial year of the Society shall end on 30 September, and the Hon. Treasurer shall present an audited annual balance sheet at the following AGM. Money belonging to the Society shall be paid into the Society's account at a specified bank. Cheques must be signed by the Treasurer and one of two other committee members nominated for that purpose.  

12.  Alteration of Rules: The rules may only be altered by a majority vote at an AGM or an SGM called specifically for that purpose.



SHOW REGULATIONS


1. All exhibits must belong to the exhibitor; and in the case of pot plants, for at least 6 months.

2. The Committee reserve the right to visit the exhibitor's gardens.

3. The Committee may refuse any entry, without explanation.

4. The diameter of a pot or pan is the inside measurement, as near the top as possible.

5. Stems must reach the water where cut material is used.

6. Number or quantity of an exhibit must be as stated.

7. An exhibit must conform with the wording of the schedule.

8. Only one entry per class is allowed by each exhibitor or household in horticultural sections

9. Only one exhibit per class is allowed by each exhibitor in non- horticultural classes.

10. Prizes may be withheld if exhibits are not worthy of a prize.

11. Decisions of the judges on merits of an exhibit is final, but the Committee reserves to itself decisions on other points in dispute.

12. Any protests, in writing, must be given to Show Secretary within one hour of the opening of Show.

13. After judging, no exhibit may be altered or removed before end of show, except by special permission of the Show Secretary.

14. The Society is not liable for compensation for loss or damage from any cause to exhibits or property, including cancellation of a Show.

15. Points value of prizes: First: 4 pts; Second: 3 pts;. Third: 2 pts; HC: 1pt.

(Except Summer Show Class 1 : First: 8 pts; Second: 6 pts; Third: 4 pts; HC 2pts.)

16. Late entries (submitted after the closing date) will be charged at 20p (except childrens). The Show Secretary reserves the right to decline entries submitted later than 9.30 a.m. on the day of the show.

17. RHS rules apply unless otherwise stated.

Ewhurst Horticultural Society. (The Society)

General Data Protection Regulation 2018

The Society stores basic essential information about its members as follows, both on paper copies and on private computers by the membership secretary and for email transmission. This contact information is not shared with any other organization and is used to contact you for collection of subscriptions, sending information about the Society and the Society’s events, and distribution of Society and local news and information including newsletters.

Some information such as show prize winners and photographs may be published in the newsletter and on the website and local press, and this may be viewed by the general public.  Some  committee member details may also be published as contacts for various Society activities only with their personal approval.

You may request details of your personal details held by the Society at any time

Renewing membership or joining the Society will authorize the Society to retain your contact details for as long as you are a member. Should you leave the Society your details will be deleted from the Society’s records and the Society will no longer be able to contact you. You may at any time request that the Society deletes your records and no further communication will be able to be made.

Every effort will be made to keep up to date on digital and analogue security and all members of the Society will be kept informed of any changes.
